Loading Assessment Files

Overview

  1. Choose the school year of the assessment

  2. Choose the assessment type

  3. (Possibly) Fill in any extra detail needed for the chosen assessment

  4. Load the file

  5. (Possibly) Resolve any issues matching student IDs

The Assessments Page

The assessment page shows the history and status of files that have been loaded in the past, by you or anyone else at your district with access to Runway. To load a new file, click the ‘Add Assessment’ button.

Loading an assessment

Choose the school year

Specify the school year of the file you want to load. This is the school year in which the assessment was taken.

Note: it’s important to choose the matching year.

This step determines which Ed-Fi ODS the data will be sent to. At the moment data can only be sent to live ODSes, which means older historic data cannot be loaded. In the future we will add a feature to allow side-loading directly to the data warehouse, bypassing this limitation.

Choose the assessment name

For example: ACT, iReady, NWEA MAP Growth

Add any extra information

Some assessments might have multiple variants, and Runway needs to know which variant you’re going to load. For example: Standard and Alternate.

If no ‘additional information’ box pops up, you can continue to file loading.

Add files

Click ‘select file’ and choose the appropriate file from your computer. Please note that only files in the appropriate format will be selectable. E.g., you will not be able to select a file in the excel format.

Typically there will only be one file, but occasionally assessments come in multiple files, such as Scores and Subscores, or Results and Student Detail. Runway will tell you which files are required and which are optional.

You will notice this suggestion in the bottom right corner: “To avoid losing any data, it’s best not to change the file format from your assessment vendor’s export tool.” Please do not change the format of your file, including the order of columns.

Submit

Completing the process

Runway will go through a few steps to transform and then load the data to Ed-Fi, and display the results when it’s finished. You can navigate off this page and submit more assessments; Runway will complete in the background.

Resolving Student ID issues

For student assessment results to land successfully in Ed-Fi, two conditions must be true:

  1. The student must exist in Ed-Fi

  2. We must be able to match at least one of the Student IDs appearing in the assessment file with a student ID in Ed-Fi

In the event we can’t find a match for one or more records, you will see this box on the results screen:

This allows you to download all the records that failed to match so that they can be corrected.

Follow the steps listed to correct any student ID issues and upload the revised file.
